Office Administrator
PART TIME, IN-OFFICE

We’re looking for someone who is highly self-motivated, takes pride in ownership, and naturally moves from task to task with minimal direction. This person thrives on getting things done, especially the behind-the-scenes work others may overlook and plays a key role in supporting both our people and our space.
What You’ll Do
Serve as the first point of contact for the office, welcoming guests and ensuring a professional, positive experience.
Keep daily office operations running smoothly by managing calls, emails, mail distribution, and shipping logistics.
Own office coordination end-to-end, conference room scheduling, internal meetings, and event logistics (including catering, setup, and teardown).
Coordinate travel arrangements and accommodations for team members and visitors, including expense tracking and reporting.
Manage vendor relationships and coordination, including office services, maintenance, and supply partners.
Proactively communicate relevant updates and important information across the office, ensuring teams stay informed and operate efficiently.
Maintain inventory and oversee ordering of office supplies, furniture, and equipment.
Take pride in the physical office space, ensuring it is consistently clean, organized, stocked, and reflective of Flint Group’s standards.
Support HR with onboarding logistics, workstation setup, and new hire orientation.
Proactively identify what needs to be done next, stepping in to handle tasks (including those that may be less visible or less desirable) to keep the office running efficiently.
Quickly learn and retain processes, systems, and workflows to improve efficiency and consistency over time.
What You Bring
2+ years of experience in office administration, operations, or a similar role.
High level of self-motivation and initiative, you don’t wait to be told what to do next.
Strong proficiency in Microsoft Office Suite, especially PowerPoint, Excel, SharePoint, and OneDrive.
Proven ability to learn quickly, retain information, and apply processes consistently.
Strong organizational and time management skills, with the ability to juggle multiple priorities.
Experience coordinating vendors, logistics, or office operations is highly preferred.
A willingness to take on any task needed to support the team, no matter how big or small.
Attention to detail and pride in maintaining a polished, professional environment.
Discretion and professionalism when handling confidential information.
Strong communication skills and a collaborative, team-first mindset.
